At Ultimate Game Hire, we are committed to maintaining the trust and confidence of our visitors to our website and handling booked clients.  In particular, we want you to know that Ultimate Game Hire is not in the business of selling, renting or trading email lists with

other companies and businesses for marketing purposes and so list detailed information below on when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure.

What Data will I be collecting and why?

 

I need to know your names, email addresses, home address and telephone numbers in order to process your enquiry and booking. Throughout our planning I will need to have access to this data in order to send appropriate information with regards to your event such as booking forms, invoices etc. This data is and will be used for legitimate interest only. I may also collect details on your venue along with any wedding planners you may have, this is to ensure the smooth running of your special day.

• Event date if known

​I may also post photos from your wedding in a variety of places, listed below. This is done via legitimate interest.

Should any member of your wedding party not wish to be included in this, please let me know by email. In addition to this, I also provide you with the ability to opt out of posting photographs from your wedding in the various places.

Why I need your personal Details

Names

We need your names in order to talk to you via your enquiry and event planning once booked.

Email address

We need your email address to send you information with regards to your enquiry and event planning and to communicate when speaking on the phone is not available.

Phone number

We may need to talk via phone with regards to your enquiry and event planning once booked, your number is required in order

to do this.

Home address

In order for me to send you your contract I need to know your address, I will not send you anything that is not related to your

event once booked.

In addition to my own data, I also use a variety of data processors. They are listed below.

Dropbox

Dropbox is a service to provide online hosting of data. I store your wedding photos on Dropbox. They self -

certify as being compliant with Privacy Shield, so are compliant with GDPR.

 

Google Analytics

 

Google Analytics is a service which provides information about how visitors use a website. I use the information that I gain to provide you with a more effective website. Google is fully GDPR compliant. I have nominated a 38 month period for retaining personal information for legitimate interest.

WIX visitor tracker

Wix is the platform in which Ultimate Game Hire website is made and this site uses visitor analytics but only IP addresses are taken just in the way Google analytics does.

What I intend to do with your information

We may use your name, email address and phone number to contact you with regards to your event and throughout the planning stages and then held securely for up to 7 years post event.

Third Parties

We may share personal information with wedding planners so we can plan your day accordingly as and when needed.  You will

be made aware as and when I get in contact with these suppliers and any details exchanged will be encrypt.

Marketing

In order for Ultimate Game Hire to continue, marketing is required. We may use some images of your day for marketing purposes. This will be done via the following ways:

• Online wedding directories

• Online wedding blogs of real wedding coverage

Where is your information kept?

Here at Ultimate Game Hire your information is kept securely behind password protected software and hard copies of documents

such as signed contracts are behind locked doors.
